ROLE OVERVIEW 1. The Legal Department (LEG) is looking for an Executive Assistant who will provide a full range of administrative and business support to the General Counsel, including administrative services and coordination, communication with internal and external contacts, records maintenance, report generation, general data analysis and basic research assistance. 2. The Executive Assistant will support the Front Office and is expected to perform a variety of tasks and handle urgent requirements to support the day-to-day business of the General Counsel.
RESPONSIBILITIES: 1. Perform complex and confidential administrative responsibilities including independently preparing correspondences, meeting minutes and memos; 2. Manage the General Counsel’s schedules, and provide logistical support to ensure appropriate meeting, travel, accommodation and event arrangements are made; 3. Serve as the first point of contact for LEG and the General Counsel; liaise with internal and external contacts and determine priorities for incoming queries and requests while ensuring all queries and requests are addressed in a timely manner; 4. Ensure effective prioritization and resolution of competing demands. Establish, maintain and ensure the timely update of the correspondence filing systems (both hard and soft copies) while ensuring that all activities supported are traceable and accessible as required; 5. Perform general research work including preparation of background documents (e.g., prepare presentation slides, drafts of simple correspondences, and background information for appointments; consolidate relevant data; generate reports, etc.); 6. Assist with budget planning, usage, reporting and related matters; 7. Coordinate all contractual activities and approvals related to LEG’s services providers, consultants, etc.; 8. Support HR processes, including recruitment, assessments, on-boarding and off-boarding activities; 9. Coordinate with the legal secretaries in delivering complex tasks; and 10. Any other tasks that may be assigned from time to time by the supervisor.

REQUIREMENTS FOR THIS JOB |
1. Minimum three years of relevant executive support experience in a large international corporate/financial institution; experience working in a multilateral development bank(s) would be an advantage. 2. Excellent interpersonal, diplomatic and organizational skills as well as the ability to juggle multiple priorities. 3. Self-motivated, service-oriented and detail-attentive; able to work under pressure and meet deadlines. 4. Ability to exercise discretion and maintain confidentiality of sensitive corporate information. 5. Proficiency in verbal/written English and Chinese. 6. Proven experience with MS Office Applications is a must. 7. Bachelor’s degree or above from a reputable university.
