The Board Operations Team of the Asian Infrastructure Investment Bank (AIIB) Corporate Secretariat, plays a crucial role in supporting the effective governance of AIIB by facilitating the smooth execution of the Board of Directors’ responsibilities.

ROLE OVERVIEW
The Secretariat Officer, Board Operations role ensures that governance processes are managed efficiently, board operations run smoothly and the board’s strategic guidance and oversight activities are facilitated to support AIIB’s mandate.

RESPONSIBILITIES:
1. Provide strategic oversight and support in planning and managing the Board’s forward-looking work program.
2. Implement and manage procedural processes of Board operations, including both official and informal meetings.
3. Serve as Committee Secretary for the Committees of the Board, ensuring the successful execution of Committee meetings and events.
4. Act as trusted liaison between the Board and AIIB management, ensuring clear and effective communication.
5. Prepare documents related to Board operations, including notices of meetings, summaries, reports and other documents relating to the work of the Board.
6. Conduct research on best practices in governance, including regular monitoring and review of current processes and procedures, and recommend continuous enhancements to strengthen operational efficiency, transparency and procedural integrity.
7. Assist in developing and implementing capacity-building initiatives for Board constituencies.
8. Manage quality assurance processes for official documents and presentations for the Board and its Committees.
9. Develop and maintain practical guidance for staff on preparing high-quality Bank documents.
10. Guide junior staff, ensuring the successful execution of their duties.
REQUIREMENTS FOR THIS JOB
1. Master’s degree in a relevant field such as finance, governance, business administration, international relations, law or public policy.
2. 5-8 years of directly relevant experience in governance, operations or board secretariat, ideally within international financial institutions, multilateral organizations or similar global organizations. Experience in global or multicultural setting is preferred.
3. Expertise in managing governance processes, board operations and continuous improvement initiatives.
4. Proven experience in drafting, reviewing and editing high-quality English-language documents including Board reports and summaries.
5. Strong interpersonal skills, with demonstrated success in cross-cultural communication and stakeholder management.
6. High level of attention to detail, particularly in managing documents, reports and procedural processes, ensuring accuracy and compliance with institutional standards.
7. Ability to work independently, take initiative and introduce creative solutions to governance challenges.
8. Experience mentoring and developing junior staff.
9. Strong multitasking abilities, with the capacity to meet deadlines in a dynamic environment.
10. Excellent oral and written communication skills in English.
