JOB SUMMARY
1. The Senior Manager, Real Estate and Administration (Administration) is responsible for overseeing and managing all administrative operations, strategic initiatives, and performance management within the Real Estate and Administration Department.
2. The role involves designing and implementing Standard Operating Procedures (SOPs), optimizing process efficiency, ensuring cross-functional coordination, and aligning administrative functions with the Bank’s strategic objectives.
3. The incumbent will also provide leadership, mentorship, and performance oversight to drive efficiency, innovation, and operational excellence across all administrative teams.

STRATEGIC MANAGEMENT & OPERATIONS
1. Direct and oversee cross-functional teams, ensuring alignment with the Bank’s business objectives and strategic goals.
2. Lead the development and execution of strategic initiatives aimed at optimizing administrative functions, process efficiency, and business operations.
3. Develop and enforce Standard Operating Policies and Procedures (SOPPs) to enhance compliance, operational efficiency, and service delivery.
4. Identify opportunities for process improvement and innovation, ensuring seamless execution of daily operations.
5. Ensure effective resource allocation and cost-efficiency across all administrative functions.
6. Oversee Management Information Systems (MIS) and data analytics infrastructure to support accurate reporting, business intelligence, and informed decision-making.
7. Drive the execution of high-priority projects, including system integrations, operational enhancements, and administrative innovations.
8. Analyze potential operational risks, ensuring proactive identification and mitigation strategies are in place.
9. Implement compliance controls and ensure adherence to internal audit recommendations, Bank policies, and regulatory requirements.
10. Develop and enforce effective communication protocols to align departmental objectives with the Bank’s strategic vision.
11. Oversee the department’s budgeting process, monitoring financial allocations and addressing deviations proactively.

Performance Management & MIS Oversight
1. Provide leadership and strategic direction to Real Estate and Administration teams, ensuring a high-performance culture.
2. Implement performance management frameworks, establishing KPIs and measurable objectives for efficiency tracking.
3. Monitor and analyze performance metrics at both departmental and individual levels, ensuring continuous improvement and optimization.
4. Ensure service performance aligns with SLAs, implementing corrective measures when necessary.
5. Communicate SLA metrics and performance results to key stakeholders, promoting transparency and accountability.
6. Oversee training and development programs for administrative personnel to enhance competence in operational procedures and best practices.
7. Collaborate with the Service Desk & MIS team to oversee the Service Desk ticketing system, ensuring effective issue resolution and operational continuity.
8. Monitor IT system implementations, vendor engagements, and system upgrades, ensuring alignment with operational requirements and business goals.

Team Leadership & Development
1. Provide strategic mentorship and coaching to team leads and administrative personnel, fostering a culture of collaboration and continuous learning.
2. Lead change management initiatives, ensuring seamless adoption of new policies, systems, and procedures.
3. Oversee the training, performance evaluation, and professional development of administrative team members, ensuring alignment with their roles and responsibilities.
4. Cultivate team cohesion and engagement, encouraging collaboration, innovation, and efficiency.
5. Build trust and accountability within the team by setting clear expectations, fostering open communication, and encouraging professional growth.
6. Promote a culture of innovation, staying informed on industry best practices and emerging trends to drive continuous improvements in administrative operations.

OTHER RESPONSIBILITIES
1. Perform additional duties as required by management or dictated by the operational needs of the Bank.
REQUIREMENTS FOR THIS JOB
QUALIFICATIONS
Education
Master’s degree in Business Administration or any relevant field.

Certifications:
1. PMP (Project Management Professional) certification is essential.
2. Performance Management System Diploma (preferred).
3. Six Sigma Diploma (preferred).

KNOWLEDGE & EXPERIENCE
Experience Required:
1. Total Years of Experience: More than 10 years.
2. Experience in the Same Field/Department: 6–10 years.
3. Experience in the Same Position: 6–10 years.

TECHNICAL SKILLS:
1. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
2. Strong knowledge of Management Information Systems (MIS) and data analytics tools.
3. Experience with project management tools, focusing on systems integration and innovation frameworks.
