JOB DESCRIPTION
1. IT Facilities, Assets & Procurement Operations is responsible for the maintenance of IT Infrastructure, ensuring that all issues are identified, recorded and addressed promptly to prevent disruption.
2. The role is also responsible for managing all IT Asset (hardware and software) resources within IDC and for the facilitation of all IT Procurement.

ROLES AND RESPONSIBILITIES
1. Monitor assets: Keep track of assets to ensure they are used efficiently and comply with vendor contracts
2. Analyze Inventory: Perform adhoc reporting and analysis on inventory levels and other asset management metrics
3. Alert users: Notify the appropriate groups when new products are received
4. Facilities: Oversee the maintenance and upkeep of IT Facilities, including space, planning and management
5. Safety and health: Ensure the safety and functionality of all facilities, including running routine safety inspections
6. Environmental monitoring: Monitor the environment, including power and cooling
7. IT Facility access management: Oversee access to the IT Facilities
8. Keep track of IT contracts.
9. Assist management with procurement of IT assets and services both hardware/software and ensure that valid invoices are paid on time.
10. Oversee IT assets issued to employees for the performance of their duties.
11. Stay informed about industry trends and best practices in IT and facilities management to contribute to continuous improvement efforts.
12. Oversee all spend activity and procurement requests for assigned category areas and determine proper action plan for all that meet the procurement involvement threshold (e.g., strategically source, user purchase, contracting)
13. Assist the manager with daily operations of IT Procurement
14. Plan, direct and manage procurement activities (including sourcing strategy, RFP/bid review, supplier management)
15. Address purchase orders, contracts, delivery arrangements and cost management
16. Liaise with different stakeholders in regards to IT procurement activities, i.e. gather purchasing needs on hardware, software and services with IT and Business users
17. Updating IT assets on SAP
18. Compile and post IT cross charges on a monthly basis before the closing date.
19. Facilitation of data cards, cellular phone service and other connectivity solutions.
20. Ensure that payments to service providers occur seamlessly
21. Facilitation of tender and quotation processes.
REQUIREMENTS FOR THIS JOB
QUALIFICATION AND EXPERIENCE
QUALIFICATION
Relevant Tertiary Qualification/Diploma in IT/Procurement or Accounting

KNOWLEDGE AND EXPERIENCE
1. 2 – 5 years working experience in IT Procurement/Accounting
2. Minimum of 1 – 3 Knowledge of purchase orders, contract terms & conditions etc. will be an advantage
3. Minimum of 2 – 3 Knowledge of SAP ERP (Material Management)
4. Excellent and accurate data entry skills to ensure data integrity and quality of record keeping
5. Technical ability including a high level of computer skills in a range of software packages including Microsoft Office 365.
