The Eastern and Southern African Trade and Development Bank, trading as Trade Development Bank (TDB), is a specialized African multilateral financial institution serving public and private sector clients in most of the Eastern and Southern African states. TDB’s objective is to provide short, medium and long-term financing to viable trade, projects and infrastructure transactions in its member states. The Bank is looking for a self-motivated and result oriented individual to join its offices located in Addis Ababa, Ethiopia. JOB SUMMARY:
The Administrative Assistant ensures the provision of efficient administrative, logistics and procurement support services required for the smooth running of the Bank’s office in Addis Ababa.

JOB SPECIFICATIONS:
1. The Administrative Assistant is responsible for the following functions:
2. Provide reception and administrative support services to support the country office; i.e. answer and direct phone calls, schedule meetings, etc
3. Executive calendar management
4. Process and ensure the procurement of goods and services in accordance with the policies and procedures of the Bank
5. Handle contract and property management on matters pertaining to the management of shared costs and utility services
6. Provide protocol support services for staff members and Bank’s visitors, i.e. processing of work and residence permit, diplomatic IDs, vehicle registration and other related tasks
7. Handle duty free formalities and process VAT exemption requests
8. Provide travel management and event organization services
9. Process basic accounting transactions for the country office and process payments to vendors and suppliers
10. Support budget preparation for the country office
11. Manage the administrative and logistic requirements of the Addis Ababa Office including insurance formalities and petty cash handling
12. Prepare monthly and ad-hoc reports and support in translating documents
13. Develop and maintain an accurate documentation and filling system;
14. Coordinate and manage transport services
15. Supervise support staff, including driver, messenger, etc
16. Perform any other duties that may be assigned by the Management.
REQUIREMENTS FOR THIS JOB
QUALIFICATIONS AND COMPETENCES:
1. A minimum of a Bachelors’ degree in Public/ Business Administration or related qualification from a recognized institution with relevant professional qualifications
2. A minimum of 5-8 years of relevant experience in an international corporate or banking environment
3. Adept in office systems software / equipment with strong information technology skills with excellent IT skills in MS Office (Ms Excel and PowerPoint in particular) and SAP ERP
4. Excellent communication and interpersonal skills with the ability to work in a multi-cultural environment
5. Ability to work under pressure to deliver on strict deadlines with minimal supervision
6. Team player and ability to juggle with multiple, changing priorities;
7. Strong interpersonal, organizational and planning skills, tact and discretion.
8. Fluency in English is a requirement and further fluency in French or Portuguese will be an added advantage.
