The Eastern and Southern African Trade and Development Bank, trading as Trade Development Bank (TDB), is a specialized African multilateral financial institution serving public and private sector clients in most of the Eastern and Southern African states. TDB’s objective is to provide short, medium and long-term financing to viable trade, projects and infrastructure transactions in its member states. The Bank is looking for a self-motivated and result oriented individual to join its offices located in Nairobi, Kenya. JOB SUMMARY:
The Receptionist/Telephone Operator position holder is responsible for operating the switchboard, organizing meetings, receiving visitors, managing mail and carrying out general administrative duties. The person acts as the Bank’s front office person and epitomizes the best image of the Bank.

RESPONSIBILITIES
The position holder is responsible for the day-to-day execution of various administrative functions including:
1. Performs secretarial and clerical duties such as typing, formatting, filing, proofreading, photocopying, printing documents, locating files, dispatching and receiving letters/documents to and from central mail and other individuals;
2. Manages meeting room scheduling
3. Answers telephone calls and provides adequate information to callers
4. Schedules appointments
5. Maintains filing and records systems (electronic and manual)
6. Registers and routes incoming correspondences
7. Manages the front-office (reception)
8. Performs administrative and clerical duties as assigned
REQUIREMENTS FOR THIS JOB
JOB SPECIFICATIONS:
1. A Diploma in Secretarial Sciences or Switch Board Operations with relevant University Degree or professional qualification as added advantage
2. A minimum of five (5) years of relevant experience in a commercial environment
3. Adept in office systems software / equipment with strong information technology skills with excellent IT skills in MS
4. Office: Windows, Word Processing, Excel and SAP
5. Excellent communication and interpersonal skills with the ability to work in a multi-cultural environment
6. Ability to work under pressure to deliver on strict deadlines with minimal supervision
7. Team player and ability to juggle with multiple, changing priorities, tact and discretion
8. Excellent interpersonal, organizational and planning skills
9. Fluency in English is mandatory with further fluency in French or Portuguese as added advantage.
